Privacy Policy

Your farm data is yours. Here's exactly what we collect, why, and how we protect it.

1. Who we are

CulchieOS is a product of Dun na Dev Ltd., a company incorporated in Ireland (Company Registration Number pending). Our registered address is Co. Donegal, Ireland.

We are the data controller for personal data collected through the CulchieOS platform (culchieos.ie and any related mobile applications).

2. What data we collect

We collect the following categories of personal data when you use CulchieOS:

Account data: Your name, email address, phone number and password (stored as a secure hash).

Farm data: Farm name, address, county, country and farm type. This is used to personalise your experience and filter grants and news relevant to your region.

Staff data: For farm staff accounts — name, email, clock-in/clock-out times, GPS location at time of clock-in, and selfie photos taken during clock-in. This data is visible only to the farm owner and authorised managers of the farm the staff member works for.

Financial data: Invoice details, expense records and payroll information you enter into the Accounts and Payroll modules. This data is stored only for your use.

Usage data: Pages visited, features used and error logs. This is used to improve the platform and is not linked to personally identifiable information in any reports we create.

Device data: Browser type, screen size and IP address for security logging purposes.

3. How we use your data

We use your personal data for the following purposes:

Service delivery: To provide and maintain the CulchieOS platform, including all features you have access to under your subscription.

Communications: To send you account-related emails (password resets, subscription confirmations, important service notices). We will only send marketing emails if you have opted in.

Support: To respond to help requests, support tickets and enquiries you raise with us.

Platform improvement: To understand how the platform is used and identify areas to improve. We use anonymised and aggregated data only for this purpose.

Legal compliance: To comply with Irish and EU law including GDPR, tax regulations and any other applicable legislation.

We do not use your data for automated decision-making that produces legal or similarly significant effects.

4. Legal basis for processing

We process your personal data on the following legal bases under GDPR (EU) 2016/679:

Contract performance: Processing your account data and farm data is necessary to provide you with the CulchieOS service you have agreed to.

Legitimate interests: Usage data and security logging are processed on the basis of our legitimate interest in maintaining a secure and improving platform.

Legal obligation: We may process certain data to comply with Irish or EU legal requirements.

Consent: Where you have given specific consent (e.g. marketing emails), you may withdraw that consent at any time.

5. Data storage and security

All CulchieOS data is stored on servers located within the European Union. We do not transfer your data outside the EEA.

We use industry-standard security measures including encrypted data at rest and in transit (TLS), access control and regular security reviews.

Passwords are never stored in plain text. We use bcrypt hashing for all user passwords.

Despite our precautions, no internet service is completely secure. If you believe your account has been compromised, contact us immediately at info@culchieos.com.

6. Data sharing

We do not sell your personal data. We do not share your data with third parties for their marketing purposes.

We may share data with the following categories of third parties only as necessary to operate the service:

Infrastructure providers: Our hosting and database infrastructure providers, bound by data processing agreements that comply with GDPR.

Payment processors: If you pay by card, payment is handled by Stripe Inc. CulchieOS does not store your card details. Stripe's privacy policy applies to payment processing.

We may disclose data if required to do so by law or in response to a valid legal request from a competent Irish or EU authority.

7. Your rights

Under GDPR you have the following rights regarding your personal data:

Right of access: You can request a copy of all personal data we hold about you.

Right to rectification: You can ask us to correct any inaccurate or incomplete data.

Right to erasure: You can ask us to delete your account and all associated personal data. Farm data (livestock records, financial records etc.) will also be deleted. We will retain only data we are legally required to keep (e.g. invoicing records for 6 years).

Right to restrict processing: You can ask us to pause processing of your data in certain circumstances.

Right to data portability: You can request your data in a structured, machine-readable format.

Right to object: You can object to processing based on legitimate interests.

To exercise any of these rights, email us at info@culchieos.com. We will respond within 30 days. You also have the right to lodge a complaint with the Data Protection Commission (Ireland) at www.dataprotection.ie.

8. Cookies

CulchieOS uses essential cookies only. These are required for the platform to function (session management, authentication state).

We do not use advertising cookies, tracking pixels or third-party analytics cookies that identify you personally.

We use browser localStorage to store your preferences (theme, dashboard layout, default map view). This data is stored entirely on your device and is not transmitted to our servers.

9. Data retention

We retain your account data for as long as your account is active. If you delete your account, we will remove your personal data within 30 days, subject to any legal retention obligations.

Financial and invoicing records may be retained for up to 6 years to comply with Irish Revenue requirements.

Clock-in photos and GPS logs are retained for up to 12 months and then automatically deleted, unless your account subscription requires a longer retention period.

10. Changes to this policy

We may update this privacy policy from time to time. When we do, we will update the date below and, where the changes are significant, notify you by email.

We encourage you to review this policy periodically.
